What is a rent receipt?
A rent receipt is a written record that a landlord received a rent payment. It says who paid, how much, for which property and for which rental period. The landlord signs it and hands or emails it to the tenant.
Tenants use rent receipts as proof of payment: in a dispute, for a future landlord, or when they need proof of address. Landlords keep a copy so every payment is accounted for. Receipts matter most when rent is paid in cash. A check or bank transfer leaves its own trail, but cash leaves nothing unless someone writes it down.
What to include on a rent receipt
- Receipt number so each receipt can be told apart and filed.
- Date received: the day the money reached you.
- Received from: the tenant's name, or whoever paid on their behalf.
- Property address, including the unit or apartment number.
- Rental period: the dates the payment covers, such as "October 1–31, 2026".
- Amount paid in figures. For cash, many landlords also write it out in words.
- Payment method: cash, check (with its number), money order, bank transfer, card or payment app.
- Balance due for the period, if the payment was partial.
- Received by: the printed name, title and signature of the landlord or property manager.
If the payment also covers other charges, list each one on its own line so the tenant can see what they paid for:

A security deposit is not rent. Give it its own receipt, marked as a deposit.

Here is a filled-out receipt for a tenant who paid part of October's rent in cash:

When Maria pays the remaining $450, write a second receipt for that payment showing a $0.00 balance. One receipt per payment keeps the record easy to follow, and some states require it for cash installments.
Do landlords have to give rent receipts?
That depends on where the property is. Several states require a written receipt when rent is paid in cash. For example:
- New York: a written receipt is required for rent paid in cash, by money order or by anything other than the tenant's personal check. It must show the date, the amount, the premises and period paid for, and the signature and title of the person who received the rent. For personal checks, a receipt is required if the tenant asks for one in writing. (N.Y. Real Property Law § 235-e)
- Minnesota: a landlord who receives rent in cash must give a written receipt right away when it is paid in person, or within three business days otherwise. (Minn. Stat. § 504B.118)
- Maine: cash paid for rent or a security deposit needs a receipt when the cash is accepted, with a separate receipt for each installment. It must show the date, amount, who the payment is for, the period covered, whether it is rent or a deposit, and the signature and printed name of the person who received it. Small owner-occupied buildings are exempt. (14 M.R.S. § 6022)
